Bulk Employee Gifting: A Step-by-Step Guide
A practical walkthrough of sending gifts to hundreds of recipients at once, and where companies run into friction without the right tooling.

Gifting one person and gifting three hundred people are not the same problem scaled up — they need genuinely different tooling, and companies that try to run a bulk send through a process built for individual gifts consistently run into the same friction points.
Step one: the recipient list
A bulk send starts with a CSV — name, email, country, and the value to load per person, which does not need to be uniform across the list. Different values per grade or seniority in a single upload is normal, not an edge case.
Step two: payment
For a one-off bulk send, card checkout or a wire transfer covers it without needing a pre-funded wallet set up in advance. For recurring bulk sends — a monthly benefit allowance, for instance — a funded wallet with proactive low-balance alerts is the better setup, so a send never silently fails because the balance ran out mid-cycle.
Step three: confirmation and tracking
Once payment clears, cards issue automatically across the full list, and each recipient gets their own redemption code by email — not a shared code, not a manual per-person send. Tracking then happens at the individual level: who redeemed, what they redeemed for, and when, not just a total spend figure.
Where this breaks down without the right tooling
The common failure mode is a company running bulk sends through a process built for one recipient at a time — copying individual details into a form three hundred times, or building an ad hoc spreadsheet-and-email workaround. Both work at small scale and become genuinely unmanageable past a few dozen recipients.
Automating the list itself
For companies running bulk sends regularly rather than occasionally, the recipient list is worth automating too — if your team is on PaySpace, employee records sync automatically, so the list a bulk send draws from is always current without a fresh export before every send. See RewardsCard for the underlying product this all runs on.
